Administratively Reports To:  Business Manager 

Schedule:  25-30 hrs per week (Tues-Fri, including 30-min unpaid lunch break)

Position Overview:  Works closely with the pastor(s), other staff and volunteers in providing clerical support to the various ministries of the church and day-to-day office operations.


Essential Duties

  • Open and close the office 

  • Answer phone and greet visitors, responding to their needs either directly or by connecting them with the appropriate staff member or other resource

  • Provide clerical support to pastor(s), other staff, ministry teams, and others in the congregation as needed

  • Receive and sort mail; process bulk mailings and assist as needed with other mailings

  • Produce weekly bulletins, periodic newsletters and other publications

  • Submit event announcements to The Missoulian, including writing or editing content as needed

  • Maintain facility calendar and church event/planning calendar

  • Respond to internal and external requests for meeting/event space; administer facility use agreements with groups using church facilities; collect applicable fees; communicate set-up needs, if any, to Facility Steward

  • Respond to assistance requests from other churches, community organizations, or direct requests from callers or walk-in visitors

  • Maintain Breeze database including church directories, email address book, mailing lists and other contact data; coordinate with Clerk of Session in keeping accurate membership rolls

  • Update info on church web site as needed, including uploading weekly sermon audio files

  • Monitor and replenish office and maintenance supplies as needed

  • Troubleshoot office equipment problems or contact vendors for service calls as needed

  • Communicate information pertaining to church members (hospitalizations, newborns, etc), prayer requests, and visitor cards to the pastor(s), deacons, and/or other appropriate persons

  • Other reasonable tasks as requested



  • High school graduate or higher education

  • Prefer minimum 5 years office experience with similar responsibilities

  • Ability to perform essential duties as listed above with or without reasonable accommodation in accordance with provisions of the Americans with Disabilities Act (ADA)

Skills & Abilities

  • Strong computer proficiency, including word processing, desktop publishing and database software; knowledge of website interface/maintenance a plus

  • Publication layout/design skills (ie, ability to produce professional, appealing arrangement of written information, graphics, and white space)

  • Strong writing skills (spelling, grammar, punctuation)

  • Effective organization and prioritization of fluctuating workload

  • Confidentiality (respect for the privacy of individuals and their circumstances by not discussing info exposed to on the job beyond those who have a direct need to know)
